SPONSORSHIP

Sponsorship of a function by a Member of the Club guarantees both the creditworthiness and the conduct of guests at the event.

PROVISIONAL BOOKINGS

Provisional bookings will be held for a maximum of ten working days, up to three months in advance, and up to 24 hours in all other circumstances

CONFIRMATION OF BOOKING & DEPOSIT POLICY

Your booking is not secure until we receive written confirmation, together with the following applicable deposit:

1st function 95% (of total estimated costs)

2nd function 50% (of total estimated costs)

3rd and all subsequent functions 25% (of total estimated costs)

PAYMENT

Payment is due 21 days from the date of the invoice. Interest will be charged at a rate of 2.5% per month on amounts that remain unpaid after the due date. Cheques should be made payable to The City of London Club.

NUMBER OF ATTENDEES

Guaranteed minimum number, to be catered and charged for, is required 48 hours in advance (this excludes weekends and public holidays). Provisional minimum and maximum numbers must be given at the time of making the booking. If numbers fall below the minimum number, The City of London Club can relocate the function to a more suitably sized room/s. Maximum capacities should be adhered to in order to comply with fire regulations.

TIMES

Provisional access/exit times are to be given at the time of booking.

Clients must vacate rooms by stated times, otherwise a further room charge may be applied.

SERVICE CHARGE

12.5% Service Charge will be applied to all functions.

VALUE ADDED TAX

Unless otherwise stated, all prices shown are inclusive of VAT at the current rate.

HAZARDS

All signage/display material/equipment should not obstruct any fire/evacuation exits.

CARE OF ROOMS/PREMISES/LIFTS

No items of any description may be affixed to the walls, ceiling or any other surfaces without the prior consent of The Club. The cleaning/repair of any marks, soils or damages will be charged to the client.

DISPOSAL OF ARTICLES LEFT ON THE PREMISES

The Club has the right to dispose of any items left by client after a function.

DRESS CODE (DAYTIME)

Members and their male guest are encouraged to wear a dark suit, with a collared and fastened shirt and tie. However, appropriate smart trousers and jacket or blazer, with a collared and fastened shirt and tie may be worn. Lady guests are required to wear dresses, suits or trouser suits. Tweed jackets, shooting jackets, casual trousers and casual shoes are not permitted. Interpretation of this rule is at the discretion of the Secretary.

For breakfast 7.30am to 10.00am and from 5.30pm to 8.00pm each evening, Members and their guests may take advantage, if they wish, of a relaxation in the dress code. Which means that they need not wear a jacket or tie, a sweater in the winter, is of course encouraged.

At no time is denim or sportswear permitted.

RIGHT TO REFUSE ENTRY

The Club has the right to refuse entry to any persons deemed unsuitable.

TERMINATION OF THE BOOKING

(Insolvency/Winding up/Outstanding Invoices)

The Club has the right to terminate the booking in the above situations.

CANCELLATION FEES

A percentage of the total estimated cost of the function, as booked, will be charged to the hirer in the event of a cancellation, using the following scales:

12 weeks before function - Room Hire Charge only

8-12 weeks before function - 25% (of total estimated costs)

4-8 weeks before function - 40% (of total estimated costs)

15-27 days before function - 50% (of total estimated costs)

2-14 days before function - 75%(of total estimated costs)

0-2 days before function - 100% (of total estimated costs)

You will also be liable for expenses incurred on your behalf, i.e. pre-booking of entertainment/audio visual aid/equipment/photographic services, subject to the suppliers’ terms and conditions. These charges may be waived in full or part, at the Club’s discretion, if the date is subsequently booked with a function of similar value or if the cancelled function is held at a later date within an agreed time.

FORCE MAJEURE

The Club shall not be liable for any loss or damage caused to the client for failing to provide the room/s for use for reasons beyond the Club’s reasonable control i.e. fire, explosion, evacuation, emergency, war, Act of God
